Facing a season of disseminating 26,000 campers to youth mission trips with an antiquated system, Group Workcamps neeeded a robust solution to meet their immediate and long-term form processing needs.

Situation

Group Workcamps is a non-profi t organization that provides a variety of youth mission trips across the country and worldwide. Each year, Group Workcamps has about 26,000 participants who fi ll out camper forms to begin the process of matching each camper with a work crew at the camps. They also incorporate handwritten sketches of each project’s proposed work, and conduct staff and participant evaluations for every trip. Group Workcamps needed and wanted to change the way they had been processing their forms. Their existing system was expensive with more functionality than they needed, and it was at the end of its service. They hadn’t received support in many years and they would need to invest over $100K in a new server if they were going to upgrade.

Solution

Isabel Sheets, the Application Developer tasked with managing this project, knew that, above all else, Group Workcamps needed an accurate and robust enough solution that would meet their multiple needs—and one with an easy enough user interface for their seasoned data entry team to adapt. She also knew that integration was going to be a huge consideration. Soon the fl ood of incoming camper forms would begin—with camper forms designed for their previous system.

Greg Buchenberger with Eightfold Consulting knew that ABBYY could not only meet Group Workcamps’ forms processing needs for the long-run but would be up to the immediate integration challenge they faced for the upcoming season. Greg worked with Isabel incorporating ABBYY FormReader 6.5 Enterprise Edition and FormDesigner. He ensured all the information from three different camper forms for their Crew Assigning database was captured, and he provided a merge so that the forms could be printed and produced for each of the 159 camps. The integration process for the merge required additional assistance, which was promptly and thoroughly provided. “Greg was wonderful,” said Isabel. “He researched issues and found solutions quickly.”

Like most seasonal operations, Group Workcamps ramps up for only a few months out of the year. “We have ABBYY on 11 workstations, and for three months out of the year, we have all of them running full tilt with a temp staff for our summer camps.”

The evaluation forms, which are processed separately and feed an Evaluation Database, were designed in ABBYY FormReader for the greatest efficiency. “We used it for all of our 6,000+ staff evaluations and 20,000+ participant evaluations, and they were processed accurately and smoothly.”

Results
